4.1  Informal Recognition
All staff and volunteers responsible for volunteer supervision are encouraged to undertake on-going methods of recognition of volunteer service regularly throughout the year. These methods should range from simple "thank you's" and birthday acknowledgments to a concerted effort to include volunteers as full participants in program decision making and implementation.

4.2  Formal Recognition
Formal methods of volunteer recognition shall include, but are not limited to, the following:

  • A thank you/anniversary card, with a Sparrow cafeteria coupon, will be sent by the Volunteer Services department to every volunteer on his/her first year anniversary. The anniversary date shall be determined by the date the volunteer attended general orientation.
  • It shall be the responsibility of the Volunteer Services department and the volunteer leadership to promote individual and group accomplishments in the department's and SHS' publications.
  • It shall be the responsibility of the Volunteer Services department to work with the Community Relations department to inform the larger mid-Michigan community of SHS volunteers' accomplishments.
  • Every attempt shall be made to take advantage of local/state/national award systems and/or events to appropriately recognize the accomplishment of SHS volunteers.
  • All volunteer Presidents shall be encouraged to build individual recognition into their membership meetings.
  • Annually, all volunteer Presidents shall receive a special edition of the Brumm sparrow prints in recognition of their year of service.

4.3   Service Awards
Service awards shall be given annually to volunteers in good standing who have accumulated the following years of volunteer service at SHS: 5, 10, 15, 25, 35, 40, 45, 50 and 55. Service years do not have to be continuous.

Volunteers who serve 5 and 10 years shall receive lapel pins in recognition.

All other service awards shall be ceramic-on-copper birds and decorator plates commissioned by SHS from Michigan artists, Norman and Judith Brumm of Charlevoix.

Annual expenses related to service awards shall be assumed by the Volunteer Services department budget.

4.4  Required Annual Hours to be Eligible for Service Awards
1. To qualify for a service award, a volunteer must meet the minimum number of hours required by the group(s) of which the volunteer is an active member. A volunteer who belongs to more than one group must meet the minimum hours requirement for at least one group to receive credit. Hours may not be combined.

2. A volunteer group must require a minimum of 20 hours of service from each volunteer member each calendar year.

3. A volunteer group may require more than 20 hours of service per volunteer to assure that its task/s can be accomplished adequately. Each volunteer group will be responsible for determining, maintaining and recording its minimum level of required hours.

4. To qualify for a service award, a volunteer shall be current in the payment of $1 annual dues to the Women's Hospital Association.

5. This policy became effective in 1997. It was not retroactive.

4.5  Recognition Events
On an annual basis the Volunteer Services Committee and the department of Volunteer Services will plan and coordinate activities related to National Volunteer Week.

Volunteer service awards shall be presented at the Women's Hospital Association's Annual Meeting. The planning of this event is the responsibility of the Social Committee of the Women's Board with administrative support from the department of Volunteer Services. All service award recipients will be guests of SHS for the event; this expense shall be assumed by the SHS Administration budget.
